Share Control software is installed as add-ins, simply expressed as an app, on top of your Microsoft 365. This means that Share Control’s software structures and refines functionality that already exists in Microsoft 365 in a simple and easily accessible way but does not handle and store the data itself. Everything you work with is stored on SharePoint, which is the storage location for Microsoft 365.
Your files and data are in Microsoft 365’s cloud storage SharePoint. Microsoft 365 guarantees that you own and control your data. You can also download all your data if you choose to terminate your Microsoft 365 service. Because Share Control is an add-in to Microsoft 365, Share Control does not manage your files and data, it is done entirely by Microsoft 365 and SharePoint.
Compared to Excel, Share Control IFRS 16 handles all calculations and provides reports that you can compare and post in the different accounting periods. All calculations are done automatically, which is a big advantage. You can feel confident that the numbers will be correct in Share Control.
We recommend that you start uploading the latest documents related to reconciliations, board meetings, current contracts, annual budget, etc. It is important to spend time thinking about how you want to structure your directories, folder structure and metadata before you start uploading documents. Once you have chosen the desired structure, it is easy to then update the information. The videos on this product page describe large parts of the process.
You enter a 12-month contract with us that is paid in advance for the number of users chosen. If the number of licenses changes, the price will be adjusted to the next payment, however, be aware that new users are billed from the time the contract is concluded. If you wish to cancel your contract this must be done at least 30 days before the subscription period expires. You can manage your own subscription through your portal on our website.
We recommend buying the accountants own licenses, as most companies have accountants who work on site for periods. Microsoft 365 is designed to administer licenses so you can have one or more licenses reserved for such occasions. The sharing function can be used for those who only need to be able to read the documents. If you need to be able to access, for example, the accountant system and other financial applications, users must also have a license in Microsoft 365 and Share Control.
Yes, all the features you find in Word, Excel and PowerPoint for document sharing are available. The recipient must have a Microsoft account but does not need to be registered as a user of your Microsoft 365 group. It is therefore possible to share individual documents.
To view the version log of your own file, click on the three arrows behind the file name in the table. Here you can click on the version log button.
Right now, we have no standardized function for deleting a larger amount of data. Currently you can go in and delete by folder.

When you make changes in the metadata, it changes all the default settings that existed before. Changing metadata should not be done without carefully considering what possible consequences it may have. In general, we do not recommend changing the contents of the metadata after using it. However, changing the text without directly changing the content can be done without any unexpected consequences.
Our experience is that if many documents are uploaded in a directory, it can have a certain negative effect on the directory’s response time. It is a matter of taste how many directories you want to have and if you want to sort by using the filter or the directories. When setting up, we go through how you can do this in the best way, suitable for your organization.
